Enrollment Policies, Payment Terms, Privacy Policy & Course Terms

The Learners Pathway (“TLP,” “we,” “our,” or “us”) provides live online educational programs, digital courses, assessments, parent guidance, and learning resources for students and families.

By enrolling in any program, booking an assessment, registering for a class, purchasing a course, accessing learning materials, or using any service offered by The Learners Pathway, you confirm that you have read, understood, and agreed to the following terms, policies, and conditions.

These terms apply to parents, guardians, students, and any individual using TLP programs, platforms, resources, or services.
 

1. Our Program Philosophy

The Learners Pathway is not a drop-in tutoring service. Our programs are designed as structured learning pathways that help students build writing, reading, communication, critical thinking, confidence, and independent learning skills over time.

Because meaningful academic growth requires consistency, families are expected to participate with commitment, regular attendance, and follow-through.

Enrollment in a TLP program means the family understands that the program is designed as a progressive learning experience, not a casual month-to-month service that can be started and stopped at any time.
 

2. Enrollment Agreement

Enrollment in any TLP program confirms that the parent, guardian, or student agrees to follow the program structure, expectations, schedule, payment terms, and policies established by The Learners Pathway.
 

Students are expected to:

  • Attend scheduled sessions regularly

  • Participate actively in class

  • Complete assigned writing, reading, speaking, or project-based work

  • Follow class expectations and learning guidelines

  • Respect instructors and other students

  • Come prepared with the required materials and technology
     

Parents are expected to:

  • Support consistent attendance

  • Help ensure the student is prepared for online sessions

  • Submit requested documents, samples, or forms on time

  • Communicate concerns respectfully and promptly

  • Support the student’s practice and follow-through outside class when needed

The Learners Pathway is not responsible for lack of progress resulting from inconsistent attendance, incomplete assignments, lack of participation, missed sessions, limited practice, external academic pressures, or failure to follow program expectations.
 

3. Program Commitment & Seat Reservation

When a student is accepted into a TLP program, a seat is reserved for that student within a structured learning pathway.

Because group size, instructor planning, curriculum pacing, and student support are arranged in advance, enrollment is considered a program commitment for the selected program term.

Monthly payments, when offered, are provided as a payment convenience. Monthly billing does not mean the program is a casual month-to-month drop-in service.

Families are expected to complete the program term selected at enrollment unless otherwise approved by The Learners Pathway in writing or required by applicable law.
 

4. Program Terms, Duration & Start Date

Each program may have a defined duration, schedule, curriculum cycle, start date, and enrollment period.

The official program start date, billing date, and access period will be confirmed at the time of enrollment.

Some programs may run by cohort, semester, term, or academic year. Other programs may be offered as digital courses with a defined access period.

Students who join after the beginning of a program cycle may receive adjusted onboarding or placement guidance, but the program expectations and payment terms still apply.

Program access may end once the selected term, access period, or program cycle is complete.
 

5. Payment Terms

Tuition and program fees must be paid according to the payment plan selected at enrollment.

Payments may be made in full or through approved installment billing, depending on the program.

If monthly payments are selected, the student’s official joining date or confirmed billing date becomes the recurring monthly payment date.
 

Example:
If a student’s billing date is February 2, the next payment will be due on March 2.
 

Parents or students authorize The Learners Pathway or its payment processor to charge the payment method provided for tuition, program fees, assessment fees, course fees, digital resources, or approved installment payments.
 

If automatic billing is not enabled, payment reminders may be sent and payment must be completed manually by the due date.
 

Failure to complete payment may result in temporary suspension of class access, digital course access, resources, parent meetings, or program participation until payment is received.
 

6. Late Payments & Failed Payments

If a payment fails, parents are responsible for updating the payment method and completing payment promptly.

TLP may temporarily pause student access if payment is overdue.
 

Repeated failed payments or unpaid balances may result in:

  • Suspension of program access

  • Removal from the class roster

  • Loss of reserved seat

  • Restriction from future enrollment

  • Referral of outstanding balances for collection, where permitted by law
     

TLP may charge reasonable administrative fees for repeated failed payments where allowed by applicable law.
 

7. Cancellation, Withdrawal & Program Discontinuation

TLP programs are structured learning commitments. Families should enroll only when they are ready to follow the program schedule and expectations.

If a parent wishes to discontinue enrollment, written notice must be provided to The Learners Pathway by email or through the approved parent communication method.

A minimum of 30 days’ written notice is required before the end of the current committed program term or before any renewal period.

Early withdrawal does not automatically cancel remaining payments for the committed program term. Payments due under the selected program commitment remain payable unless TLP approves an exception in writing or cancellation is required by applicable law.

TLP may consider exceptions in limited circumstances at its sole discretion. Exceptions are not guaranteed and may require supporting documentation.
 

8. Refund Policy

All program fees, assessment fees, registration fees, digital course fees, and resource fees are non-refundable once assessment, onboarding, course access, program access, or instruction has begun, except where a refund is required by applicable law.
 

No refunds or partial refunds will be issued for:

  • Missed classes

  • Student absence

  • Illness

  • Travel

  • Vacations

  • Scheduling conflicts

  • Internet or device issues

  • Change of mind

  • Lack of participation

  • Incomplete assignments

  • Failure to use course access

  • Voluntary withdrawal after the program begins

If a family chooses not to continue after enrollment has begun, any refund or credit is at the sole discretion of The Learners Pathway unless otherwise required by law.
 

9. Missed Classes & Makeup Policy

Students are expected to attend all scheduled sessions.

Missed live sessions due to illness, travel, school events, vacations, personal circumstances, internet problems, device issues, or scheduling conflicts do not qualify for refunds, credits, fee adjustments, or guaranteed makeup classes.

Where possible, TLP may provide class notes, assignments, recordings, or alternative guidance, but this is not guaranteed and may vary by program.

Makeup classes, if offered, are provided only at TLP’s discretion and based on instructor availability, class structure, and program suitability.
 

10. Online Program Requirements

Students participating in online programs must have access to:

  • A reliable internet connection

  • A working laptop, computer, or compatible device

  • Audio and microphone access

  • Camera access, if required

  • A quiet and appropriate learning environment

  • Required notebooks, documents, worksheets, or learning materials
     

TLP is not responsible for missed learning due to internet failure, device issues, software problems, login problems, or lack of preparation on the student’s side.
 

Parents are responsible for ensuring that students can access the required online platforms and attend sessions on time.
 

11. Assessments, Parent Meetings & Program Recommendations

TLP may offer discovery calls, child assessments, parent meetings, writing reviews, reading reviews, communication assessments, or program-fit recommendations.

Assessments and recommendations are educational in nature. They are not psychological, medical, diagnostic, or formal psychoeducational assessments.

TLP may ask parents to provide writing samples, school reports, teacher feedback, learning plans, or other relevant materials to better understand the child’s needs.

Program recommendations are based on the information available at the time of review. TLP does not guarantee that a specific program will produce a specific academic grade, score, or school result.
 

12. Parent Responsibility & Home Support

TLP works with parents as partners.
 

Parents understand that student progress may depend on:

  • Attendance

  • Practice

  • Completion of assignments

  • Parent follow-through

  • Home routines

  • Reading habits

  • Screen time habits

  • Student effort

  • Willingness to receive feedback
     

TLP provides structure, guidance, instruction, and support, but families are responsible for maintaining consistency outside class.
 

13. Student Conduct

Students are expected to behave respectfully in all live online sessions, group discussions, messaging spaces, assessments, and learning activities.
 

Students may not:

  • Disrupt class

  • Use inappropriate language

  • Share private class links

  • Record sessions without permission

  • Bully, mock, or disrespect other students

  • Misuse chat features or online platforms

  • Share another student’s work or personal information
     

TLP reserves the right to remove a student from a class or program if behavior becomes disruptive, unsafe, disrespectful, or harmful to the learning environment.

Removal due to misconduct does not automatically qualify for a refund.
 

14. Online Course & Digital Resource Access

Purchase or enrollment in an online course, digital program, or resource grants access for the defined period stated at the time of purchase or enrollment.
 

Access is granted to one individual user only and may not be transferred, shared, resold, or used by multiple students unless TLP provides written permission.
 

Students and parents are responsible for maintaining login credentials and account security.

TLP may suspend or terminate access if unauthorized sharing, misuse, copying, distribution, or resale is detected.
 

15. Intellectual Property

All educational materials, resources, frameworks, videos, recordings, worksheets, exercises, lesson structures, digital systems, teaching methods, and program content created by The Learners Pathway are protected intellectual property.
 

This includes but is not limited to:

  • Lesson materials

  • Videos and recordings

  • Worksheets and exercises

  • Writing frameworks

  • Reading tools

  • Speaking frameworks

  • Course structures

  • Digital learning systems

  • Written resources

  • Parent resources

  • Student resources

  • Proprietary teaching methods
     

All proprietary methods, frameworks, and teaching systems developed by The Learners Pathway — including the Universal Question Development Framework (UQDF) and other TLP methodologies — remain the exclusive intellectual property of The Learners Pathway.
 

Enrollment or purchase grants a limited, non-transferable license for personal educational use only.
 

The following actions are strictly prohibited:

  • Sharing login credentials

  • Copying course materials

  • Distributing worksheets or resources

  • Recording lessons without permission

  • Reproducing program content

  • Reselling materials or frameworks

  • Uploading TLP materials to public platforms

  • Using TLP materials to teach, coach, or train others without written permission
     

Violation of these terms may result in immediate termination of access without refund and may lead to further legal action.
 

16. Recordings & Class Content

TLP may record certain online sessions for educational, training, review, or student-support purposes.

Recordings, if provided, are for enrolled students only and may not be downloaded, copied, shared, posted, distributed, or shown to anyone outside the enrolled family.

Parents and students may not record live classes, assessments, meetings, or course content without written permission from TLP.
 

17. Results Disclaimer

The Learners Pathway provides structured educational programs designed to strengthen literacy, writing, communication, critical thinking, confidence, and leadership skills.
 

Individual outcomes depend on many factors, including:

  • Student effort

  • Attendance

  • Practice

  • Participation

  • Parent support

  • Learning history

  • Consistency

  • Completion of assignments

  • Readiness for feedback

TLP does not guarantee specific academic grades, test scores, exam results, admissions outcomes, writing levels, reading levels, competition results, or measurable improvement within a specific timeframe.
 

18. Program Changes, Schedule Changes & Instructor Changes

TLP reserves the right to modify program schedules, instructors, lesson formats, class structure, curriculum pacing, or delivery methods when necessary.
 

Changes may occur due to:

  • Instructor availability

  • Program needs

  • Low enrollment

  • Technology issues

  • Emergencies

  • Scheduling requirements

  • Curriculum improvements

  • Student grouping needs
     

TLP will make reasonable efforts to communicate meaningful changes and provide appropriate alternatives where possible.
 

19. Scheduled Breaks

Some programs may include scheduled breaks, holidays, reading weeks, project weeks, or independent learning periods.
 

During these periods, students may be assigned independent learning activities, writing tasks, reading assignments, reflection work, or project-based work.
 

Scheduled breaks are part of the program structure and do not qualify for fee reductions, refunds, credits, or extensions unless otherwise stated in writing.
 

20. Chargebacks & Payment Disputes

By purchasing or enrolling in any TLP program, course, assessment, or service, you agree to contact The Learners Pathway directly to resolve concerns before initiating a payment dispute or chargeback.
 

Submitting a chargeback without first contacting TLP may result in:

  • Immediate suspension of program access

  • Termination of course access

  • Restriction from future enrollment

  • Submission of enrollment records, payment records, login activity, class access records, and communication history to payment providers
     

TLP reserves the right to defend disputed charges by providing relevant documentation to banks, payment processors, or legal authorities where required.
 

21. Privacy Policy

The Learners Pathway is committed to protecting the personal information of students and families.

We collect only the information reasonably necessary to deliver our programs, communicate with parents, support student learning, process payments, maintain safety, and improve our services.
 

Information We May Collect

We may collect:
 

Parent/Guardian Information:
Name, email address, phone number, billing details, communication records, and enrollment information.
 

Student Information:
Name, age, grade level, learning needs, program enrollment, attendance, assignments, writing samples, reading samples, assessment notes, progress records, and parent-shared school information.
 

Payment Information:
Payment details necessary to process tuition, course purchases, or program fees. Payments are processed through trusted third-party payment providers. TLP does not store complete credit card numbers on its own servers.
 

Program Records:
Attendance, class participation, progress notes, feedback, parent meeting notes, assessment information, and communication related to the student’s participation.
 

Website Information:
Basic website usage data through cookies, analytics tools, and similar technologies.
 

Media or Student Work:
Only if separate consent is provided or where sharing is part of a private instructional process.
 

22. How We Use Personal Information

We use personal information to:

  • Register students in programs

  • Deliver online classes and digital courses

  • Communicate with parents

  • Provide invoices, receipts, and payment confirmations

  • Conduct assessments and parent meetings

  • Review writing samples or learning documents

  • Provide feedback and progress updates

  • Improve programs and learning experiences

  • Manage student safety and class quality

  • Provide access to digital resources

  • Comply with legal, financial, and administrative obligations

We may also use de-identified information for internal reporting, curriculum improvement, or educational outcome review.
 

23. Children’s Privacy

TLP works with children and takes children’s privacy seriously.

Personal information about children is collected only with parent or guardian consent and is used only for educational, administrative, and program-related purposes.
 

Parents may request access to, correction of, or deletion of their child’s personal information by contacting TLP.

If we become aware that a child’s information has been collected without appropriate consent, we will review and delete or correct the information where required.
 

24. Information Sharing

TLP does not sell, rent, or trade personal information.
 

We may share limited information only when necessary, including:

  • With trusted service providers who support payments, learning platforms, scheduling, email communication, website hosting, analytics, or student management

  • When required by law

  • To protect the safety, rights, or property of TLP, students, families, or others

  • With parent or guardian consent

Third-party providers are expected to handle information securely and only for the services they provide.
 

25. Data Security

TLP uses reasonable safeguards to protect personal information, including restricted access, secure platforms, password-protected systems, and trusted payment processors.
 

However, no online platform, email system, or data transmission method is completely secure. Families understand that using online services carries some inherent risk.
 

26. Cookies & Analytics

The TLP website may use cookies, analytics tools, tracking pixels, or similar technologies to understand website performance, visitor behavior, advertising effectiveness, and user experience.

Users can manage or disable cookies through their browser settings.

Disabling cookies may affect website functionality.
 

27. Third-Party Platforms & Links

TLP may use or link to third-party platforms for learning, scheduling, payments, communication, video calls, resources, or educational activities.
 

These platforms may include tools such as payment processors, video conferencing platforms, learning platforms, email systems, or educational websites.
 

TLP is not responsible for the privacy practices, terms, content, or security of third-party websites or platforms. Families are encouraged to review the policies of any third-party tools they use.
 

28. Media Consent

Media consent is optional and may be collected separately during enrollment or before specific events, projects, showcases, or promotional activities.
 

TLP may request permission to use student photos, videos, audio recordings, testimonials, writing samples, project work, or class participation materials for educational, promotional, website, social media, presentation, or community purposes.
 

If media consent is not granted, TLP will make reasonable efforts not to use identifiable student media publicly.

Parents may withdraw media consent by emailing TLP with the subject line “Withdraw Media Consent.” Withdrawal applies going forward and may not require removal of materials already published or distributed before consent was withdrawn, unless required by law.

TLP will always aim to present students respectfully and appropriately.
 

29. Email, Text & Parent Communication

By enrolling in a TLP program or submitting an inquiry form, parents agree to receive communications related to enrollment, scheduling, assessments, classes, payments, resources, workshops, program updates, and parent guidance.

Families may unsubscribe from marketing emails where applicable, but important program, payment, and enrollment communications may still be sent as required to deliver services.
 

30. Limitation of Liability

Participation in TLP programs is voluntary.

To the fullest extent permitted by law, The Learners Pathway is not liable for indirect, incidental, special, consequential, or punitive damages arising from enrollment, participation, missed sessions, technology issues, use of course materials, reliance on educational feedback, or inability to access online programs.

Parents and students accept responsibility for their participation, engagement, technology setup, practice, and learning follow-through.
 

31. Changes to Programs, Policies & Terms

TLP may update these terms, policies, program structures, payment policies, privacy practices, or course terms from time to time.

Updated versions will be posted on this page with a revised update date.
 

Continued enrollment, use of programs, or access to services after changes are posted means the family accepts the updated terms, unless otherwise required by law.
 

32. Governing Law

These terms and policies are governed by the laws of the Province of Alberta, Canada, unless another jurisdiction’s law is required to apply.
 

Any disputes arising from enrollment, program participation, payments, digital course access, privacy, or use of TLP services shall be subject to the jurisdiction of Alberta, Canada, to the fullest extent permitted by law.
